The Role

We're on the hunt for a passionate Probate Specialist to revolutionise our probate operations, leading the charge in bringing our probate processes in-house. Say goodbye to outsourcing and hello to autonomy! You'll be managing high-volume caseloads, navigating through both straightforward and complex estates. Key Responsibilities

  • Work cross-functionally between Octopus Legacy and our subsidiary Octopus Legal Services.
  • Proficiently and efficiently manage your own probate caseload from case opening to closing, ensuring adherence to deadlines, legal and regulatory requirements.
  • Serve as the primary point of contact for clients throughout the probate process, providing regular updates and addressing any concerns or enquiries with professionalism and empathy.
  • Consistently and proactively delivering excellent service to each and every client and ensuring case progression.
  • Prepare and review legal documents, ensuring deadlines are met, accuracy and compliance with relevant laws and regulations and internal policies. 
  • Identify and resolve complex legal issues and challenges that may arise during the probate process or within the business.
  • Perform various administrative tasks related to probate administration, and as required by the business such as accurately maintaining case files, making calls, post handlings, and managing correspondence.
  • Cross-functional collaboration with team members to streamline processes, share insights, and achieve optimal outcomes for clients.
  • Contribute to the expansion and refinement of existing processes to facilitate scalable operations, including the development of templates, precedents, and training resources.
  • To undertake ad-hoc projects as required by management from time to time.

Who Are You?

  • Law degree (preferred)
  • 3+ years of experience in estate and trust administration, with a focus on probate processes
  • Ability to handle a diverse caseload independently, ranging from simple to complex estates
  • Proven versatility and resilience, particularly in startup and volume-based environments
  • Capacity to thrive under pressure and effectively manage competing demands
  • Flexibility to adapt to evolving business needs and operational requirements
  • Self-starter and proactive approach
